Meetly turns speech into text. You dictate or record in the Meetly app — on Android, on iPhone, or in your browser at meetly.technology/app — or you upload or share an audio or video file into it, and Meetly produces a transcript and notes: a summary, decisions and action items, and, if you choose one, a template of your own filled in from the recording. This policy explains exactly what happens to your recordings. It describes what the software does today, not what it might do one day.

What Meetly collects
- Audio you record, and any title you give it.
- Files you choose to upload or share into Meetly — for example a WhatsApp voice note, a call recording or a video of a meeting. Only the sound is kept: the picture of a video is discarded as soon as the sound has been taken out of it.
- The transcript and notes produced from that audio, including any templates filled in from it.
- Hands-free listening, if you switch it on: short clips of the stretches where someone speaks, and each day's running notes. If you choose Only my voice, also a voiceprint of your voice (see below).
- Your templates (Meetly Research): the name and the fields of each template you create. If you upload a file to make a template — a Word document, a PDF, a spreadsheet or a photo of a form — Meetly keeps that file with the template, so it can give it back to you filled in from your meetings. A file you upload but do not save as a template is deleted within a day.
- Your settings: the language you want your notes in, and how long Meetly should keep your recordings.
- Your account: your name, email address and password — or, if you sign in with Google or Apple, the name, email address and account identifier that Google or Apple gives us, and never your Google or Apple password. With Apple's "Hide My Email" we receive a relay address instead of your own. Sign in with Google asks Google only for your name and email address. The password, if you set one, is stored only as a scrypt hash, never in a readable form. Signing in gives your device a sign-in token, kept on your device (or in your browser's storage), and on our server only as a hash.
- Server logs: when your device contacts our server, the server records the IP address, time and request, for security and troubleshooting. These logs can also contain short fragments of transcribed text.
Meetly has no advertising, no analytics and no third-party trackers. It does not collect your contacts, location, photos (other than a photo of a form you choose to upload as a template) or device identifiers. Our web pages load nothing from any other website, except Google's file picker, which the web app loads only when you choose to pick a template from Google Drive.
The microphone
Meetly uses the microphone only while you are recording and the recording is visibly in progress. It does not listen in the background or when idle. Your phone, or your browser, asks for your permission before Meetly can use the microphone, and you can withdraw it at any time in its settings.
Files on your device
Meetly reads a file only when you pick it with Upload a file, drop it on the Meetly page in your browser, or share it to Meetly from another app. It receives only that one file. It never reads your other files, your chats or your other apps' data.
How your audio is transcribed
Your audio is transcribed by Meetly's own speech-recognition model, running on servers we operate on Google Cloud in the Mumbai (asia-south1) region of India. The audio is processed only on those servers. It is not sent to any other speech-recognition or AI service, and it is not used to train our models.
Live captions. If live captions are switched on, the audio is also sent to the same servers while you record, so the words can appear as they are spoken. That copy is used only to show the captions and is not kept: the transcript you keep comes from the recording uploaded when you stop.
To show who said what, the model compares the voices within each recording. These voice measurements are used only to separate the speakers in that recording; they are not stored, and they are never used to identify you or anyone else. The exceptions are hands-free listening, described next: there the measurements of a day's voices are kept with that day's note, so the same voice keeps the same label all day; and, only if you ask for it, your own voiceprint.
Hands-free listening
In the Meetly app on your phone you can switch on Listen hands-free. Until you switch it off, Meetly listens with the screen off and keeps only the stretches where someone is speaking, from just before they start to just after they stop. Silence and background noise are never recorded or uploaded. While it is on, your phone shows that the microphone is in use, and on Android a notification says so, with a button to stop.
- Each stretch of speech is uploaded as a short clip and transcribed on our servers in Mumbai, like any recording. A day's clips make one note. To keep that note's summary up to date, the new transcript text — never audio — is sent to Gemini, as for your other notes.
- The clips' audio is kept like a recording's audio: until you delete the day's note, or for the period you choose under Delete just the audio after.
- Only my voice (optional): you record about 25 seconds of your voice once. Meetly keeps a voiceprint — a set of numbers worked out from that recording, not the recording itself, which is not kept — stored encrypted and used only to recognise your voice in your own listening clips. Your lines are labelled "You"; other people's words are dropped, and the clip's audio is deleted as soon as it has been transcribed. You can remove the voiceprint at any time, and it is deleted with your account.
- Listening hands-free records the people around you too. Tell them, and switch it off where you should not record. Meetly is not for recording anyone secretly.
Where your recordings are stored
Your recordings, transcripts, notes and templates are stored on our servers and in a private Google Cloud Storage bucket, both in Google Cloud's Mumbai (asia-south1) region, filed under your account. The bucket blocks all public access; only Meetly's servers can read it, and only for the account that owns the data.
How your notes are written
To write the summary, decisions and action items, Meetly sends the transcript text of that recording to Google's Gemini API. The audio is never sent. Google processes the text to return the notes, under the Gemini API Additional Terms of Service, and this processing may take place outside India. If Gemini is unavailable, the notes are written by a language model running on our own servers instead, and the text does not leave them.
The same applies when you use these features — never audio:
- Templates: to fill in a template, its fields are sent to Gemini together with the transcript text.
- Uploading a template: the text of the Word document or PDF you upload is sent to Gemini to find its fields. A PDF form or a spreadsheet already lists its fields, so nothing from it is sent. A photo or scan of a form is sent to Gemini as an image, so its text can be read.
- Filled-in documents: putting the answers into your Word document, PDF form or spreadsheet happens on our own servers; the document is not sent anywhere.
- Notes in another language: Gemini writes the notes in the language you choose, from the same transcript text. The transcript itself is never changed.
Bridge: meetings across languages
In a Bridge meeting each person speaks their own language and hears the others translated into theirs.
- Speech is transcribed by our own model on our servers in Mumbai, as described above, and is not recorded: there is no audio recording of a Bridge meeting.
- Translation: the text of each sentence — never the audio — is sent to Google's Gemini API to translate it (or to the language model on our own servers if Gemini is unavailable).
- Spoken translations are generated on our own servers in Mumbai and deleted when the meeting ends.
- Your voice. If you choose to record a sample of your voice (with your consent), it is stored on our servers in Mumbai and used only to speak your translated words in Bridge meetings. You can delete it at any time in the Bridge section, and it is deleted with your account. Without a sample, your words are spoken in a standard synthetic voice — never in another person's voice.
- Guests join with a code and no account. We use only the name and language they enter and what they say in the meeting; they agree to this before joining. The meeting's transcript (each sentence as said, with its translations) and notes are saved in the organiser's account, and handled like any other meeting.
- Meeting rooms are deleted a day after the meeting ends, or 12 hours after the room was last used.
Connections: Slack, Notion and Google Drive
You can connect Meetly to Slack, Notion and Google Drive in the app, under Connections. Nothing is connected unless you connect it, and nothing is sent unless you send it — by tapping Send to… on a meeting, or by turning on automatic sending for a connection. What is sent is text: the meeting's title, notes, action items and filled templates, and its transcript only if you turn that on. Never the audio.
- Slack: Meetly can post to the one channel you pick when you connect, and nothing else. It cannot read your messages or channels.
- Notion: Meetly can see only the pages you share with it in Notion. It adds a page for each meeting you send under the page you choose, and reads a page once if you choose it as a template.
- Google Drive: Meetly asks only for access to files it creates and files you pick. It saves the meetings you send as Google Docs, and keeps a template's answers in a Google Sheet if you ask, adding a row for each new meeting. If you pick a file from your Drive as a template, Meetly reads that file once. It cannot see the rest of your Drive. Meetly's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements: it is used only to provide these features to you, it is never used for advertising or to train AI models, and it is not shared with anyone else except as this policy describes — the text of a file you pick as a template is sent to Gemini to find its fields, like any template.
- What Meetly keeps: the access each service gives it, stored encrypted and tied to your account; the name of the Slack workspace and channel, the Notion workspace and the page you chose, and the email address of the Google account; and which meetings were sent where.
- Disconnecting deletes that access from Meetly at once, and Google's access is revoked. Slack and Notion keep their own record of the connection: remove Meetly from the channel in Slack, or under Settings → Connections in Notion. Deleting your Meetly account does the same for every connection.
- What you send becomes part of your Slack, Notion or Google account and is kept by them under their own terms. Deleting the meeting in Meetly does not delete the copies you sent; delete those where they are.
Nucleus, for developers
The Developers section of the web app (the Nucleus API and its SDKs) lets you send audio to Meetly from your own product and build pipelines out of different models. What is different there:
- Your own model keys. If you add an API key for Google Gemini, OpenAI, Anthropic or Sarvam and choose that provider for a stage of a pipeline, the audio or text for that stage is sent to that provider, under your own agreement with them. Meetly stages run on our servers in Mumbai, as described above. Your keys are stored encrypted, are used only for your own pipelines, and are never shown again after you save them.
- Job audio sent to the API is deleted as soon as every pipeline in the job has run. The results — transcripts, notes, timings and scores — are kept for 7 days and then deleted automatically.
- API keys are stored only as a hash. Client tokens for browsers and apps expire within an hour.

We do not sell your data or share it with anyone else, except where the law requires us to or where you share or send a meeting yourself.

You choose the automatic deletion periods in the app, under Account → Keep my recordings. They apply to recordings you already have as well as new ones, and are checked every hour.
We do not keep backup copies of your recordings. When you delete something, or it is deleted automatically, it is removed from our servers and from storage immediately, and cannot be recovered.
Deleting your data
- One recording: open it in the Meetly app and tap Delete this meeting. The audio, transcript and notes are erased permanently. This cannot be undone.
- One template: open it in the Research tab and tap Delete. The template and the file you uploaded for it are erased. Answers already filled in from a meeting stay with that meeting until you delete the meeting.
- Your whole account: in the app, open Account, tap Delete my account and confirm with your password. Your account and everything in it — recordings, templates, settings and connections — are erased immediately, including your voiceprint and anything hands-free listening kept. Your choices and rights
You can ask us for a copy of the data we hold about you, ask us to correct it, or ask us to delete it, by writing to director@synergenixailsc.com. We respond within 30 days.
Security
All traffic between your device and our server is encrypted with HTTPS. Your account can see only its own recordings. Repeated wrong passwords are slowed down to stop guessing. Access to the servers is restricted to the people who run Meetly.
Children
Meetly is a work tool. It is not directed at children under 13, and we do not knowingly collect data from them.
Changes to this policy
If this policy changes in a way that affects how your data is handled, the date at the top will change and the new version will appear at this address.
